Happimess Policies & Agreements

Happimess Policies, Waiver & Participant Agreement

By registering for, attending, or participating in any Happimess program, service, class, camp, event, or activity, you acknowledge and agree to the following:

Assumption of Risk

Art, creative exploration, and sensory play involve the use of a wide range of materials, including but not limited to paints, clay, water, tools, and small objects. While all materials used at Happimess are non-toxic and meet Canadian safety standards, participation carries inherent risks.

These may include minor injuries, allergic reactions, ingestion of materials (particularly for younger children), slips, falls, or damage to clothing and personal items.

By participating, you voluntarily assume all risks associated with these activities for yourself and/or your child.

Medical Authorization

In the event of an emergency, you authorize Happimess staff to seek medical care for yourself and/or your child as deemed necessary.

Every reasonable effort will be made to contact you or your designated emergency contact. You accept full financial responsibility for any medical treatment required.

Supervision & Behavior Expectations

Happimess provides supervision during applicable programs; however, all participants are expected to follow safety guidelines and staff instructions.

For child participants, caregivers remain responsible for ensuring their child is ready to participate in a group environment. In programs where parents are required to stay (such as sensory play), children must remain within arm’s reach of their caregiver.

If behavior is deemed unsafe, disruptive, or harmful to others, Happimess reserves the right to remove a participant from the program without refund.

Clothing & Personal Belongings

Happimess is, by design, messy.

While aprons may be provided, we are not responsible for any damage, staining, or loss of clothing or personal belongings. Participants should wear clothing suitable for creative, hands-on activities.

Allergies, Medical Needs & Accessibility

You are responsible for informing Happimess of any allergies, medical conditions, or support needs for yourself and/or your child prior to participation.

While reasonable accommodations will be made whenever possible, Happimess cannot guarantee an allergen-free or risk-free environment.

We aim to create an inclusive, neuroaffirming space and welcome any information that helps us better support participants.

Liability Waiver & Release

To the fullest extent permitted by law, you release, waive, and discharge Happimess, its owners, staff, volunteers, and affiliates from any and all liability, claims, demands, or causes of action arising from participation in any Happimess program or activity, except in cases of gross negligence or willful misconduct.

Media Policy

Children

Happimess does not take identifiable photos of children.

Any images captured will either:

  • obscure the child’s face (e.g., with their artwork), or

  • be taken from angles that do not reveal identifiable features

By participating, you acknowledge and consent to this policy.

Adults

Photos and videos may be taken during adult classes, events, and programs for promotional and community-sharing purposes.

By participating, you consent to the use of your image and likeness unless you choose to opt out.

If you prefer not to be photographed or have your image used:

  • please inform a staff member, and/or

  • feel free to position yourself, your artwork, or materials in a way that obscures your face

We respect your boundaries—just let us know.

Cancellation & Refund Policy

By participating in any Happimess program, you acknowledge that you have reviewed and agreed to our cancellation and refund policy, available on our website.

Policies may vary depending on the type of program (classes, camps, adult events, parties, afterschool program), and it is your responsibility to review the applicable terms prior to booking.

By completing a registration, submitting a form, or attending a Happimess program, you confirm that you have read, understood, and agree to these policies.

Our schedule for the day runs as follows:

9:00 am   Drop off time 

Settling in/introductions and unstructured play

9:30 am   Art time (step-by-step painting)

10:45 am Snack time

11:15 am Free play / Outside time (weather allowing)

12:15 pm Lunchtime

1:00 pm   Craft time

1:45 pm   Unstructured creative time

2:00 pm   Art time (Applied arts)

2:45 pm   Cleanup time

*We give the last child to be picked up some candy, it takes away the disappointment of being the last one there and the sugar rush after is just an added bonus for parents. Please note that if you are late the stakes go up and they are given more and more sugar by the minute!

Cancellations and Refunds: â€‹

  • At Happimess, we strive to accommodate changes in your plans; our cancellation policy applies to Summer Camps, Spring Break Camps, Winter Holiday Camps, and Pro D Day Camps.

  • Important Note on Camp Eligibility:
    Children must be enrolled in or have completed Kindergarten to attend our camps. We cannot accept children who have not yet completed Kindergarten for our summer camps. If a child is registered under false pretenses, we will not issue a refund. For more details, please refer to the relevant law.​

  • Cancellation Due to Sickness: If your child is unable to attend due to illness (with a medical note), we will provide credit towards any of our services or products. Refunds will be considered on a case-by-case basis at the discretion of Happimess' management team.

  • General Cancellations: Cancellations made more than 14 days before the camp start date are eligible for credit towards future bookings.

  • For cancellations made within 14 days of the camp start date, no refunds or credits will be issued.

  • Program Cancellations by Happimess: In the event that Happimess needs to cancel all or part of a program (including Summer Camps, Spring Break Camps, Winter Holiday Camps, and Pro D Day Camps) due to unforeseen circumstances, we will provide all families with a full credit for the amount paid. If the program has already commenced, credits will be pro-rated accordingly.

  • Please note that all cancellations must be communicated in writing to info@happimess.net . Refunds and credits are subject to review and approval by Happimess' management team.

  •  We appreciate your understanding and cooperation with our cancellation policy. If you have any questions or concerns, please don't hesitate to contact us.

For all other cancellations made prior to 14 days before the camp start date, we regret to inform you that no refunds or credits will be issued.

Classes cancel

Classes:

Cancellation Policy for Classes:

​

  • To secure your spot in a class, full payment is required at the time of registration.

  • Registration fees are non-refundable.

  • If you need to cancel your enrollment in a class, please notify us at least 10 days before the class start date by sending an email to info@happimess.net

  • Upon timely cancellation, you will receive a credit that can be applied towards any of our services or products.

  • In the event a spot becomes available in a class, waitlisted students will be prioritized based on the order of our registration process.

  • Waitlisted students will have 24 hours to claim their spot before we move on to the next student on the list.

  • In the event that Happimess cancels all or part of a scheduled class for any reason, we will provide full credit towards any of our services or products for the amount paid (or pro-rated if the class has already started).

For all other cancellations made within 14 days or less of the class start date, we regret to inform you that no refunds or credits will be issued.

Cancellations and Refunds: â€‹

  • In the event of postponement due to unforeseen circumstances, your ticket will remain valid, and you will be notified of the new date. If the new date is not suitable for you, a refund will be issued.

  • Cancellations due to sickness, with a valid medical note for the ticket holder, will receive credit applicable to any of our services or products. Refunds will be considered on a case-by-case basis and will be at the discretion of Happimess' management team.

  • For all other cancellations made more than 13 days before the event, neither refunds nor credits will be issued.

For private adult events, deposits can be used to reschedule if notification of rescheduling is received at least 7 days before the event. Otherwise, no refunds or credits will be issued for private adult events.

Birthday Party Cancellation Policy:

We understand that life is full of surprises and unforeseen circumstances. If, for any reason, you need to reschedule your booked birthday party, we're here to make the process as easy as possible.

Rescheduling Your Birthday Party:

  • Your deposit is fully transferable, and it can be used to reschedule your party for a new date within the next 6 months. We want to ensure that your special celebration can still take place, even if plans change unexpectedly.

  • To reschedule your party, please notify us as soon as possible. We recommend contacting us as soon as possible before your originally scheduled event date to secure the best availability for your new date.

  • We will work closely with you to find a suitable alternative date that accommodates your needs and preferences.

Cancellation and Refunds:

  • If you decide to cancel your birthday party entirely, please notify us at least 10 days before the scheduled event date. In such cases, we will refund your deposit in full.

  • Cancellations made less than 10 days before the scheduled event date will result in forfeiture of the deposit.

Host Responsibility Agreement

As the booking party host, I understand and agree that:

  • I am responsible for supervising all children and guests attending my event, unless otherwise agreed upon in writing.

  • Happimess staff are present to facilitate activities and support, but do not provide one-on-one or full group supervision.

  • ​I am responsible for ensuring that I have accurate and up-to-date parent/guardian contact information for all children left in my care during the event, and for making sure each child is picked up promptly at the end of the party. I also agree to be prepared with emergency contact information if needed.

  • I will inform my guests (and their parents/guardians) of any important safety rules and ensure they are followed during the event.

  • I accept full responsibility for the behavior, safety, and well-being of all attending children unless directly supervised by their own parent/guardian.

  • I release Happimess, its staff, and its owners from any claims arising from injury, damage, or loss during my event, except in cases of gross negligence.

Afterschool Program (I heART Program)

Below is a quick overview of our Afterschool Program policies. For full details, please download our Parent Handbook.

Program Overview

Our afterschool program runs from school pick-up until 6:00 pm and follows the school calendar from September to June (excluding statutory holidays, school breaks, and Pro-D days).

Children are transported from school (when applicable), enjoy snack time, and participate in structured art lessons, creative exploration, and optional homework or free time.

 

Transportation & Arrival

  • Children may be picked up from school and transported via the Happimess bus

  • On certain early dismissal days, transportation may be limited or unavailable

  • Families will be notified in advance regarding pickup availability

 

What to Bring

  • Extra snacks and lunch (if needed)

  • Water bottle

  • Clothes that can get messy

  • Optional: extra change of clothes

We are not a peanut-free facility, and food should not be shared due to allergies.

 

Supervision & Responsibility

Happimess staff supervise children during program hours; however:

  • Children must be signed out by an authorized adult

  • Families are responsible for communicating absences or schedule changes

  • Children are expected to follow all safety guidelines and studio expectations

 

Absences

If your child will not attend on a scheduled day, you must notify us in advance:

Failure to notify may impact staff supervision and program flow.

Please note: Absences do not reduce fees, as your child’s spot is reserved.

 

Fees & Billing

  • Billing is monthly based on scheduled school days

  • Fees are due at the beginning of each month

  • A non-refundable deposit is required and applied to the final month of enrollment

Program fees are not prorated for absences or vacations.

​

Late Pick-Up

Program runs until 6:00 pm.

We give the last child picked up some candy to soften the “last one here” feeling. If you’re late… the sugar escalates accordingly.

 

Code of Conduct & Environment

Happimess is a safe, inclusive, neuroaffirming environment.

Participants are expected to:

  • Treat others with respect and kindness

  • Follow safety rules and staff instructions

  • Respect personal boundaries and consent

We have a zero-tolerance policy for bullying or harassment, and all incidents are taken seriously and addressed collaboratively with families.

 

Support & Inclusion

We are committed to creating a neurodivergent-affirming environment where all children feel safe, supported, and able to thrive.

We tailor our approach to individual needs and welcome any information that helps us better support your child.

 

Schedule Changes

  • Minimum 2 weeks’ notice required for any schedule changes

  • Reducing days does not result in refunds

  • Store credit may be issued at Happimess’ discretion (valid for 6 months)

 

Cancellation Policy

  • Minimum 30 days’ written notice required

  • Cancellation takes effect on the first of the following month after notice period

  • Your deposit is applied to your final month

  • No refunds are issued for unused time

 

Early Dismissals & Pro-D Days

  • Pickup for early dismissals may be limited and is not guaranteed

  • Collaboration days (early dismissals) may require alternate arrangements

  • No afterschool program runs on Pro-D days

  • Pro-D day camps are available separately and must be booked in advance

Fees still apply for scheduled days, even if your child does not attend.
